Enrollment Manager updates implemented on March 22, 2025:

When entering an Enrollment, users were unable to change the program to a previously enrolled program.

When entering an Enrollment, users can change the program to any that have been added to the student. A new “card” no longer needs to be created if the student changes back to a previous major.

Users could not easily access the most relevant school information, the student’s enrolled program, and facility(s) at the top of the Programs tab.

Users’ school information will show at the top of the Programs Tab, as well as any program in which the student has been enrolled, to include the term begin dates. Non-associated facilities will be collapsed, but viewable.

Note: There will no longer be “cards” where you have to get the correct card “to the top”.

Users were not able to decline drafts submitted by School Certifying Official (SCO) Assistants.

Users can Decline SCO Assistant Drafts. Instead of deleting and restarting, the draft can be declined (moved back to draft) and updated with the correct information.

Special characters were not allowed in the Notes sections.

NCD amendments will now display dates in MM/DD/YYYY format and fields for improved print view readability.

Non-33 only: No remarks were generated when the user changed the dates or tuition and fees.

If only the dates or tuition and fees are changed, there will be automated remark generated. This is to assist the new payment processing system.

The checkbox on the program card was labeled “STEM” in Enrollment Manager, causing confusion.

The checkbox on the program card is now labeled “STEM Scholarship Student” to clarify that this checkbox should only be used for those receiving the scholarship, not all Science, Technology, Engineering, or Math (STEM) students.

When adding a guest student to the School and Program section of Enrollment Manager, the label displayed as “Parent Facility”

The label now displays as “Parent Facility Name” when adding a guest student.

Users were unable to return to “SCO Access Manager” and other applications without logging out.

Users can navigate back to “SCO Access Manager” and other applications by selecting the “Return to Landing Page” link displayed under Log Out when selecting user profile.

When Graduation, End of Term, or Course is selected, the end date of term and Amendment Reason now populate correctly.

When selecting Graduation, End of Term, or Course, the default effective date was not populating correctly and would populate an incorrect Amendment Reason.

When users search for a student with a filter applied and viewed a student’s profile, that same search filter would clear when navigating back to the main search page.

Search filters are saved. They remain after navigating to a student and back to the main search page.

Users had the capability to submit enrollments at main and extension campuses concurrently with different objectives and programs.

Users are not able to submit enrollments at main and extension campuses concurrently with different objectives and programs. A warning message displays when the user has an enrollment where the dates are overlapping from the same school. Please note - This was not enabled correctly and caused issues with any overlap. The edit was removed with the October 12 installation.

Enrollment term dates were not listed in chronological order (order of oldest to most recent by begin dates) on the 22-1999 print pdfs when different enrollments were submitted on the same day for a claimant.

View Details were updated to be Read Only. User interface changes were made for the option to amend an enrollment to be removed from the View Details page.

The “Add Multiple Enrollments” button should not appear for Flight or OJT/APP, since it is not applicable. It was appearing when the student was previously in an IHL or NCD school.

When users changed the program for a CH31 student, the VR&E counselor email address deleted, and had to be re-entered.

New Features

Release Description

When entering a CH35 benefit for the student the user must now also include the qualifying Veteran's first name and last name (suffix is an optional field). Note: The user is not required to add the qualifying Veteran’s name to any students already added as a CH35 beneficiary.

Users will now have a confirmation field for the social security number to ensure that the number was entered correctly. The second SSN field is validated against the first entry when creating and adding new students.

The term "Current Benefit" on the Benefits tab of Enrollment Manager has been updated to “Last Benefit Paid.

The term "Pending Benefit" on the Benefits tab of Enrollment Manager has been updated to “Benefit student wants to use.

When users submit an enrollment under a new benefit type, once the enrollment is processed or acceptance is given by the external system, the new benefit type will be listed as the Last Benefit Paid in Enrollment Manager.

This release implemented a timeout warning in Enrollment Manager. Users will now receive an inactivity warning message two minutes prior to their session expiring in Enrollment Manager. This warning message gives users the option to “stay logged in” and extend their session before being logged out.
