Will individuals who were under Read-Only be transferred automatically to the new system? 

Answer:

Assistant and Read Only access requests are submitted using the same method performed by SCOs through the VA Education Platform Portal (after ID.me or Login.gov authentication, navigate to VA Education Platform Portal, select either Request access or legacy VA Online Certification of Enrollment (VA-ONCE) users and complete the applicable fields). Read-Only SCOs also must be listed on the Department of Veterans Affairs (VA) Form 22-8794, which is submitted to the Education Liaison Representative (ELR).

Will an email be sent to students once an enrollment certification or amendment has been submitted? 

Answer:

Yes, emails will be automatically generated to students after each record is submitted. The verbiage is largely the same as the VA-ONCE emails.

How does a new SCO access Enrollment Manager? 

Answer:

The first time you access Enrollment Manager, you will log in through VA's Education Platform Portal. Those without a VA-ONCE account will select “Request Access.” After logging in for the first time, SCOs will be able to access Enrollment Manager directly from any internet browser.

Are the current VA-ONCE standard terms being transferred over to present enrollments? 

Answer:

The standard terms from VA-ONCE are being imported to Enrollment Manager and will be called preset enrollments. Existing preset enrollments were created previously in VA-ONCE.

Will our programs pull in directly from the Web Enabled Approval Management System (WEAMS) or will we enter them manually? 

Answer:

Programs will pull in directly from WEAMS. Active programs will appear first, and withdrawn programs will appear at the bottom of the list.

Why do we have to wait a day to submit amendments for benefits other than Chapter 33? Why can’t things be procedurally the same? It only makes sense. 

Answer:

For non-Chapter 33 students, continue with submitting successive adjustments on separate days. Future enhancements will continue to be made to the system after its initial release.

Do we include the full Social Security Number (SSN) for Chapter 35 students? 

Answer:

Yes, SCOs can search for Chapter 35 students via full SSN and file number.

Will the remaining entitlement summary be updated in real time?

Answer:

The remaining entitlement will not update immediately once you submit an enrollment - when the student's claim is processed either in automation or by a Veterans Claims Examiner, then the new remaining entitlement amount will appear on the student's profile.

Will the Chapter 35 student codes still be required? 

Answer:

Certifying Officials need to enter a student’s SSN, and Veteran’s SSN or VA file number for Chapter 35, when creating a new student who does not exist in VA Systems. Even though Enrollment Manager does not display SSN, they are still used to verify students.

Resident, online, clock and remedial blocks had “required*” in red for these blocks.  If none, are we required to enter 0 in each block or leave blank? 

Answer:

One of the blocks is required - if you input resident hours, the requirement for other credits is not necessary.

Will notes show on a printed enrollment certification? 

Answer:

Notes will not print on an enrollment certification - they will only appear on the student's Notes tab.

Can you run reports in Enrollment Manager?

Answer:

You will be able to pull summary and detail reports. 

Question(s):

 Will there ever be a report available that shows us when the payments are made (replacing the paper copies sent from the VA two weeks after payments are sent)? 

Are there any plans for different reports than what was available in VA-ONCE? It would be so great to be able to pull a report of entitlement information for all students certified in a time period or all students associated with our facility code.

Is there a mobile version of the new Enrollment Manager? 

Answer:

No, this will not be available in the first release; however, enhancements in future releases are in consideration.

Is it possible for a student to have multiple active programs? (i.e., someone with dual major Psychology and Sociology) 

Answer:

You may have a student pursuing multiple majors. However, you may only submit under one program.  Please use the program they consider their Primary Major and add a note, should it be questioned on compliance.

Are we able to order the standard terms in Enrollment Manager? Or do we need to input them in the order we want them to appear in the dropdown? 

Answer:

You can put them in the order you’d like for them to appear. 

Question(s):

Will you be able to "tab" on your keyboard to move from field to field? The training modules did not allow me to do that. 

Answer:

No, that could be an enhancement in future releases. 

Question(s):

Will undeclared still be listed an option on the Enrollment Manager program list? 

Answer:

If the Training Type is IHL, non-matriculated and undeclared is a listed option. 

Question(s):

Are we able to see all enrollments for a student, even if they are at another school?  Asking for parent school and guest school purposes. 

Answer:

Yes
